Photography and Event Terms and Policies

Session Time and Overtime

• Sessions are based on the package chosen: 30 minutes or 1 hour. If you would like to extend your session time in advance of the proposal 48hrs notice must be given and we will do our best to accommodate you
• Time Extensions due to client’s lateness are subject to availability.
• Overtime is billed at $500/hour for photography, an additional $500/ hour for videography , and an additional $350/hr for live musicians. For Private rooftop proposals an additional $1000-2000/hr (depending on the venue) will be added. For proposals will signs and large floral displays an additional $200/hr is added to account for the production overtime.
• Clients are responsible for full payment for the scheduled time, even if late or delays occur.

Billing and Invoice Confirmation

• Review your invoice carefully to ensure all requested items are included. Items not listed will not be provided. Notify us of any omissions to adjust the invoice.

Photography Services 

• Edited High-resolution and Web – resolution photos will be delivered via Dropbox within 1.5 weeks after the event date and once the balance is paid in full.
• Clients are responsible for backing up images on their own devices to ensure long-term access.

Videography Services

• A proposal video will feature a single camera, edited to a song of your choice. You will also receive a clip of the moment you proposed unedited. Since it is a surprise, microphones will not be used.
• The video includes footage from during and after the proposal.

Rooftop Proposal Policies

• Guests, friends, or family are not allowed at private rooftop proposals without prior approval and may incur fees per person depending upon the venue. 
• No outside food or beverages allowed on the roof
• No outside decor allowed on the roofs
• No outside vendors
• No drones allowed

Weather and Outdoor Photography

• Rain or Shine Policy: Events proceed as scheduled unless rescheduled within 48hrs of the date. 
• Clients may choose to:
  • Reschedule their proposal to new date if possible
  • Switch to an indoor or covered location if possible
  • Continue with their proposal date risking inclement weather with an understanding that it may affect the quality of footage

Cell Phone Communication

• The Client’s phone must be charged, with the ringer on, and actively monitored for communication.
• Failure to respond to texts or calls may result in delays or cancellation and the full balance remains due.

Rose Petals and Props

• Colors for petals or roses cannot be guaranteed but will aim for romantic shades (e.g., red, white, peach) unless a special request was made for all one color upon booking
• Petals may blow away in windy conditions

Cancellation Policy

• No cancellations.
• Clients are welcome to reschedule their proposal date up to 48hrs before the proposal. Extra fees may apply to account for the team and private rooftops holding the date

Lighting and Environmental Factors

• Clients are advised to follow recommended times for optimal lighting. Choosing non-recommended times may result in darker or overly bright photos.
• Factors such as crowds, trash, construction, or changing lighting in public spaces (e.g., Times Square) are beyond our control and part of shooting in NYC.

Copyright and Use of Photos

• Ash Fox grants the Client permission to display, print, and distribute photos for private use only.
• If publishing photos in print or online (e.g., Facebook), credit must include: © Ash Fox LLC and @ashfoxproposals for Instagram.
• Written consent from Ash Fox LLC is required for any commercial use.
• Ash Fox retains the right to use event photos in her portfolio.
