Event Fee session time and overtime

The total fee is the investment for a one-hour or 30min session depending on the package you choose. 

Overtime will be billed at $500/hour. If the client is late, delays or cancels the client is still responsible for full payment for the scheduled time. If the client wants to extend the time due to lateness from the scheduled time and schedule permits, the client will be billed at $500/hr for any time extensions. 

Confirming your invoice information

Please check your invoice very carefully to be sure you were billed for all the items you ordered. Any items not billed on the invoice will not be at the proposal. Notify us if anything was left off so we can add it for you.

Photography 

The client will receive high-resolution photos through the secure online download service Dropbox.com 1 week to  a week and a half after the event date and the balance has been paid in full. Dropbox allows the client to download the high-resolution digital copies straight to their computer and create as many copies as desired. Client is required to make back up on their own computer and hard drives in order to ensure you will have your images indefinitely.

Videography Services

The video will be a clip of the proposal with a song of your choice in the background. We film before you propose, when you are proposing, and after. There will be just one camera. It will be a video, with ambient sound so voices may or may not be audible. Since it is a surprise we cannot mic you. In summary, the video will be a clip of you proposing with a song of your choice in the background.

Weather

Our events are rain or shine. If we have advance notice of inclement weather and if our team is able to reschedule the proposal for a different time or day we will do so. If it is too rainy to 

In the event of inclement weather such as rain or snow for an outdoor photo shoot, Ash Fox in her sole discretion determines that the shoot should be rescheduled. The client’s deposit will be refunded or the client can choose to apply the deposit towards another mutually agreeable day and time.

If inclement weather causes the shoot to be terminated early decided by Ash Fox in her sole discretion, the client will receive a $50 refund towards the total photography fee. 

Copyright and Publication of Photos

Ash Fox grants permission to the client to display, print, and distribute photos of the Event for private use only and if the Client publishes the photo in any media including print or online (such as Facebook) Client is required to include the following copyright notice: © Ash Fox LLC. In addition, the Client is required to credit @ashfoxproposals if posting on Instagram. The client is required to obtain signed written consent from Ash Fox LLC, the copyright owner of the photographs, for any commercial use of the photos by the Client. In addition to all other rights provided by copyright, the Client agrees that Ash Fox has the right to use the photographs of Client and Client’s event for Ash Fox’s portfolio.

Guest for Proposals

Under no circumstances can Client’s guests, friends, and family attend the session without prior permission. The venues may  require an extra charge for guests so we need to be notified in advance of the proposal

Cell Phone Communication on Event Date

On the day of the event, it is imperative that the Client’s cell phone is charged, the ringer is on and fully working and the Client monitors their cell phone for texts and calls so we can properly communicate and rendezvous. If the AFP team can’t communicate with the client and this causes delay and/or cancellation of the session resulting in no photos, the client will forfeit the deposit and the Client is still responsible to pay the balance of the photography fee. You can put a fake name on your phone if you are concerned that your partner will see the name.

Rose Petals

If doing petals or roses, color is not guaranteed and we will try to go for romantic colors (red, white, peach, etc.) Petals are subject to blow around in spring, fall, and winter and we recommended a full rose setup to prevent blowing away.

Cancellation Policy

If the Client cancels at least 35 days before the event date, half the deposit will be refunded and half will be retained by Ash Fox for her work in scheduling, consulting, and administration. Otherwise, the deposit is not refundable but can be applied towards another date within 6 months of the original event date. After 6 months, the client can still apply the deposit but is subject to additional fees for new planning sessions and increases in photography rates. Venue rental fees such as rooftops, billboards, etc. are not refundable under any circumstances since this is the policy of the venues. If Ash Fox cancels for any reason (sickness, weather, etc.) the Client’s deposit will be immediately refunded. The client agrees that any claim against Ash Fox for failure to perform services is limited to the return of the Client’s deposit.

Lighting and Sunset

Ash Fox will advise the preferred lighting time but if the client wants to do a time that is not recommended we are not responsible if the photos are too dark or too bright because the time slot was outside of our recommended time. When we schedule a proposal for sunset we hope that there will be a sunset but sunsets themselves are out of our control

Crowds, Trash, Construction, and/or Changing Lights

We are not responsible for crowd interference, trash, construction, or the changing lighting in locations like Times Square  which may flash colors on your skin green, blue, purple, etc. This is just part of doing a shoot in NYC.
